Terms and Conditions
This document sets out the Terms and Conditions for the purchase of tickets to the Wolfson June Event 2012. The June Event will, subject to the conditions laid out below, take place on Friday 22nd June 2012.
The agreement is between the principal ticket purchaser (hereafter the "Applicant", until payment is received, and the "Ticket Holder" thereafter) and the Wolfson June Event 2012 Committee (hereafter the "Committee"). If the principal ticket purchaser is buying tickets for guests as well then they also submit to this agreement on behalf of the guests on their application.
Failure to adhere to these terms and conditions can lead to, amongst other things, an application being refused or voided, tickets being cancelled, entry to the Event refused or the guest being ejected from the Event.
Eligibility for Ticket Purchase and Admission to the Event
- The principal ticket purchaser (Applicant & Ticket Holder) must be either a current member of the University of Cambridge or an alumnus. Guests must be bona fide acquaintances of the Ticket Holder, but need not be connected with the University.
- Admission to the June Event is by valid ticket only, plus photographic ID (University card, driving license, or passport) with each ticket.
- All guests must be at least 18 years of age on the day of the Event.
Ticket Types
- There are 3 types of ticket available; Standard, Queue-Jump and Dining. Other than the differences laid out below all tickets are subject to these terms and conditions.
- Standard tickets cost £66 per person and entitle holders to enter the Event at 9pm.
- Queue-jump tickets cost £72 per person and entitle holders to enter the Event at 9pm via the designated ‘queue-jump’ entrance.
- Dining tickets cost £88 per person and entitle holders to enter the Event at 7.00pm for a drinks reception, followed by a 3-course meal beginning at 7.30pm. Dining ticket holders arriving between 7.30pm and 9.00pm will be permitted to join the other dining guests late.
- An ‘Early Bird Discount’ of £4 will be deducted from the cost of each ticket purchased on or before 22nd February 2012.
- A £2 charity donation will be added to the cost of each ticket, unless the Applicant chooses to opt out.
Ticket Application and Payment
- Tickets are allocated on a first come-first-served-basis.
- There is no limit to the total number of tickets that can be purchased by an individual
- The exception to this is tickets charged by Wolfson College Members to their College Account (see below)
- An application containing incorrect or misleading information is automatically void.
- A) All ticket applications, save in cases B) and C) outlined below, must be made online.
- Tickets may be purchased at www.wolfsonjuneevent.co.uk from 00.01am on 21st January 2012.
- Applicants must provide their email address and the names of all their guests, or the application will be rendered void.
- Payment by VISA/Mastercard/Maestro will be required in full immediately.
- Ticket Holders will receive confirmation by email, containing a unique Ticket Number. Ticket Holders are strongly advised to keep a note of this and not disclose it to anyone.
- B) Members of Wolfson College may charge a ticket for themselves and up to 3 guests to their College Account, until March 22nd 2012.
- Applications may be made through a member of the Committee between 10pm and 2am at the Wolfson June Event Launch Party on 20th January 2012, or via the form at the Porters’ Lodge, from 21st January until March 22nd 2012.
- Applicants must provide their Wolfson College ID, email address and the names of all their guests, or the application will be rendered void.
- Applicants will receive confirmation by email, containing a unique Applicant ID. Applicants are strongly advised to keep a note of this and not disclose it to anyone.
- Tickets for charging to College Accounts will be reserved until 22nd April 2012, by when the Committee must receive payment (requiring full settlement of the Applicant’s College Account with the College Office prior to this date).
- Ticket Holders will receive confirmation by email, containing a unique Ticket Number. Ticket Holders are strongly advised to keep a note of this and not disclose it to anyone.
- Applicants unable to settle their College Account should contact the Ticketing Officer to arrange payment by cheque. Cheques to the value of tickets reserved and payable to ‘Wolfson College’ must be sent to the Vice-President by 22nd April 2012, and must have the Applicant’s name and Applicant ID written on the reverse.
- Failure to comply with these requirements may lead to the application being cancelled.
- Once the cheque has cleared, Ticket Holders will receive confirmation by email, containing a unique Ticket Number.
- Applicants whose cheques bounce will be obliged to pay a £20 surcharge if they wish to proceed with their application. This must be added to the ticket price on the replacement cheque.
- Cash will not be accepted.
- Payment received after 22nd April 2012 shall not qualify as payment for the tickets reserved and the application will be rendered void. However, please note that although the application will be cancelled, College Account charges will remain outstanding.
- C) Non-Wolfson Members and Wolfson Alumni may reserve tickets for themselves and guests for payment by cheque, either at the Wolfson June Event Launch Party or through the Wolfson Alumni Ticket form
- Applications may be made through a member of the Committee between 10pm and 2am at the Wolfson June Event Launch Party on 20th January 2012.
- Applications by Wolfson Alumni may be made through the online Alumni Ticket form until March 22nd 2012.
- Applicants must provide their email address and the names of all their guests, or the application will be rendered void.
- Applicants will receive confirmation by email, containing a unique Applicant ID. Applicants are strongly advised to keep a note of this and not disclose it to anyone.
- Tickets for payment by cheque will be reserved until 22nd April 2012. Cheques to the value of tickets reserved and payable to ‘Wolfson College’ must be sent to the Vice-President by this date, and must have the Applicant‘s name and Applicant ID written on the reverse.

Ticket Conditions
- The Applicant is responsible for the guests on their application under this agreement and submits to this agreement on their behalf.
- By submitting an application the Applicant agrees to have their details stored electronically. The details will not be passed onto any third party and shall remain confidential.
- Tickets (both purchased online and reserved for charging to College Accounts) are non-transferable, non-cancellable and non-refundable. However, in cases where the Committee deem the circumstances appropriate, the ticket can be transferred to another name, subject to the transferee fulfilling the conditions of eligibility laid out above.
- All changes will incur a fee, £15 if made before 22nd May 2012, or £25 thereafter.
- No changes may be made after 15th June 2012.
- Any request to change must be immediately communicated to the Ticketing Officer or the ticket will be rendered void. Payment of name change fees must be made by cheque, payable to ‘Wolfson College’ and sent to the Vice-President, and must have the Ticket Number and Ticket Holder name, as well as the transferee name and email address, written on the reverse. Confirmation of the change will be issued once the cheque has cleared, and the new Ticket Holder will receive a new Ticket Number.
Ticket Distribution
- Tickets will be available for collection from Wolfson College over a three day period in Easter Term, the dates of which are to be announced to guests by email. This will be from the Club Room, unless otherwise stated by sign or email notification. Photographic identification (University card/driving license/passport) and the Ticket Number will be required.
- The Ticket Holder (i.e. the principal purchaser) is responsible for collecting all tickets purchased and distributing these to their Guests.
- The Ticket Holder is the only person who can collect tickets unless prior request has been received by the Ticketing Officer directly from the Ticket Holder outlining alternative collection. Such a request must reach the Ticketing Officer by email at least 48 hours prior to the first collection date.
- After this three day period any tickets which have not been collected will become void, subject to the discretion of the Committee. A £10 penalty will apply to retrieve these tickets; uncollected tickets are non-refundable.
Dress Code
- The only acceptable attire for men is Black Tie, White Tie or national dress; women should have a comparable standard of dress. Sports blazers are not allowed. The Committee reserve the right to refuse entry to anyone they deem not suitably attired.
Safety and Security
- Last entry to the Event is at 11.00pm. Before entry to the Event is allowed, the ticket holder must receive a wristband which must be displayed at all times while on the Event site. The wristband will only be issued upon the presentation of a valid ticket and photographic identification.
- Re-entry will not be permitted.
- Ticket holders are reminded that smoking at the June Event is only permitted in the designated area.
- During the ball, there will be strictly no access to A block proper or the Council room. The entrance to the Club Room by the kitchens and West Court is also out of bounds. Any persons found entering these areas will be ejected from the Ball.
- The Committee reserves the right to eject any person from the Event and to take whatever further action they deem appropriate.
- Grounds for such exclusion include, but are not limited to, violent, loud, indecent, illegal or immoral behaviour, excessive intoxication, possession of illegal drugs or other breach of these terms and conditions.
- A further ground is where the Committee and/or its duly authorised representatives have reasonable grounds to believe the Ticket Holder may have committed or may be about to commit a criminal offence or has engaged or is engaging in other such activities as the Committee deems unacceptable.
- Persons found at the Event without a valid wristband or ticket will be ejected from the ball, and will be required to pay the Committee double the full ticket price. Ticket holders found to have helped such persons will be subject to a £20 fee.
- The Committee accepts no liability for lost or stolen belongings of ticket holders or for financial compensation to the ticket holder if he or she is removed from the Event.
- The Committee reserves the right to photograph and record CCTV footage of the Event site, its immediate surroundings, the grounds of Wolfson College, and those entering, present in and leaving it, in order to document the event in case of later legal action.
- The Committee reserves the right to hold the data and information provided by the Applicant and/or Ticket Holder, in compliance with Data Protection legislation.
- The Committee reserves the right to conduct searches of persons or property to verify any belief that the terms and conditions laid out here are not being adhered to.
Other
- The Committee reserves the right to alter the programme without notice.
- The Committee reserves the right to cancel the June Event at its discretion at any time, as a result of incidents beyond the Committee‘s control. In the event of cancellation, no refund will be given within 24 hours of the start of the ball. A 50% refund will be offered 7 days before, and 25% between 1 and 7 days.
- All decisions of the Committee are final.
